Introduction
AFAS is an ERP system mainly active in the Dutch and Belgian markets.
The AFAS integration gives the end-user a pop-up for caller recognition. Only Organizations and Contacts that are available in AFAS are shown. Deeplinks are provided to open the contact or organization in AFAS Insite.
Contact information is displayed if any have been found. This can include Organizations and Persons. It will also display the last three Dossier items linked to the result.
When a call has been picked up and/or ended, logs are written to AFAS. Note that this cannot be done when an Organisation level entity, such as Organisatie and a Persoon, share the same number, as it cannot be determined to which entity to assign the log to.
Usage
When a phone call is ringing, either incoming or outgoing, Contacts are fetched when the calling phone number is set in either Telefoonnr. privé, Telefoonnr. werk, Mobiel privé or Mobiel werk (Mob). Along with the contact, the last three Dossiers are obtained. On incoming calls, a pop-up is sent to the user, displaying these Contacts and Dossiers.
In addition, the first 5 Organizations are obtained when these have the calling phone number set in either Telefoonnr. werk, E-mail werk, Mobiel werk (Mob), Telefoonnr. privé, Mobiel privé, or Telefoonnr. werk. The format of these numbers does not matter.
When a call is disconnected, this is logged on the AFAS CRM. This does not apply to internal or transferred calls. These call logs are stored as Dossiers.
In some cases, a warning is displayed in the workflow log. When this occurs, the phone number calling is assigned to multiple Organization level records; such as an Organisatie and Persoon.
Configuration
Access to AFAS Profit
Before we can acquire a token, access to the customer's AFAS Profit environment is required. Access may be temporary or permanent. Collaborate with the customer to obtain the access required.
Sign in on afasonline.nl.
Take note of the number at the top of the page, next to the company name. This is the environment id.

To upload these files, you may first need to download them to your own system. Ensure you know where you're saving them!
Once saved, you can upload them by opening File Explorer (Verkenner) and navigating to the directory where you've saved these files. Click and drag them anywhere within the AFAS system, then select where you want to save your files.
All of the steps below can be done in the menu Algemeen.
Create an AFAS Token
Note that the AFAS Token doesn't get displayed again once obtained.
Navigate to 🛠️ Beheer -> Autorisatie tool.
Select Onderhoud gebruikers.
Click on Meer acties and select Nieuwe systeemgebruiker, or press Ctrl + 1.
Fill in the fields Gebruiker and Omschrijving. Start the Gebruiker with the environment id.
Press Volgende and uncheck all options. Press Voltooien.
You can leave email and UPN empty.
Create a User Group
Navigate to 🛠️ Beheer -> Autorisatie tool.
Select Onderhoud groepen.
Click on Nieuw.
Select Maak een geheel nieuwe gebruikersgroep. Press Volgende.
Fill in the fields Groepand Omschrijving. For Vullen op basis van, select Handmatig (H).
Press `Voltooien`. You can leave Toelichting empty.
Assign User to Group
Navigate to 🛠️ Beheer -> Autorisatie tool.
Select Onderhoud groepen.
Select the group you want to add your user to.
Click on Gebruikers in groep.
Press Nieuw. Select the user(s) you want to add to the group.
Create AppConnector
Navigate to 🛠️ Beheer -> App Connector.
Select Nieuw.
Fill in the field Omschrijving. Select the newly created group for Gebruikersgroep.
Press Volgende. Press Volgende again. Click Voltooien.
Create User Token
Navigate to 🛠️ Beheer -> App Connector.
Open the newly created app connector.
Select Gebruikerstokens.
Click Nieuw.
Select the newly created user for Gebruiker. Fill in the field Omschrijving.
Press Volgende. Copy the entire token, including the XML tags.
Note that the token doesn't get displayed again once obtained.

Copy to clipboard
To get the copied token to your system clipboard, select the dropdown at the top of the page.
Press Clipboard.
Select the entire token from the Clipboard. Then, right click on the selection and select `Copy`.
If done right, a message will show up:
Create GetConnectors
Navigate to 📊 Uitvoer -> Beheer -> GetConnector.
Click on Meer acties and Importeren, or press Ctrl + 5.
Select Bestand. Select the files you had uploaded .
Click on Voltooien > OK > Voltooien.
Configure an AppConnector
Navigate to 🛠️ Beheer -> App connector.
Open the newly created app connector.
Select GetConnectoren.
Click on Nieuw and select the following:
Click on Voltooien.
Select UpdateConnectoren.
Press Nieuw.
Select Dossier and click Voltooien.
Assignment
Assign the AFAS integration V2 to the customer. When prompted, enter the environment id and AFAS Token. Optionally, set the dossiertype to 4. This means standard.
To obtain the environment id and AFAS Token, please follow the steps in Configuration. Note that the AFAS Token will not be displayed again once obtained.
Troubleshooting
